Purpose

The Leave module is where staff leave requests land for admin approval. Teachers and other staff submit leave requests from their own app, and as School Admin you review, approve, or reject them here. You also own the leave policy configuration โ€” how many leave days of each type staff are entitled to, and how they accrue over the year.

Approved leave feeds into other modules automatically โ€” for instance, a teacher on approved leave won't be assignable in Invigilator Assignment for that date, and their own attendance reflects the leave rather than needing separate marking.

When to Use

  • Whenever a staff member submits a leave request that needs a decision.
  • At the start of the year, to set up or review leave policy โ€” leave types, entitlements, and accrual rules.
  • When checking a staff member's remaining leave balance before approving a request.
  • When resolving a scheduling conflict caused by overlapping leave requests (for example, two teachers from the same department on leave the same week).

How to Use

  1. Open Leave from the Admin dashboard to see pending leave requests awaiting your decision.

  2. Tap a request to see details โ€” leave type, dates, reason, and the staff member's remaining balance for that leave type.

  3. Approve or reject the request. If rejecting, you can add a note explaining why, which the staff member sees on their end.

  4. Go to Leave Policy to review or update leave types and entitlements โ€” for example, casual leave, sick leave, and how many days of each staff accrue per year.

  5. Use the staff leave overview to check balances and history for any individual staff member, useful when a request looks unusual or a balance dispute comes up.

TipCheck for scheduling conflicts โ€” like invigilation duty or a class with no substitute โ€” before approving leave that falls during an exam period.
Common MistakeRejecting a leave request after a staff member has already told their department they're taking the day off can cause confusion โ€” try to review pending requests promptly rather than letting them sit.
