Student Boarding

Purpose

Student Boarding is how you record which students actually got on or off the bus at each stop. It happens during an active trip โ€” you can't mark boarding before a trip starts or after it ends. This is what lets parents see a confirmed pickup or drop notification for their own child, separate from just seeing the bus move on the map.

When to Use

  • At every stop during a pickup route, as each expected student gets on the bus.
  • At every stop during a drop route, as each student gets off.
  • When a student who was expected doesn't show up, so the school has an accurate record.
  • When an unscheduled student needs to be added at a stop, if your app allows it for that route.

How to Use

  1. With a trip already running (see Running a Trip), go to the Students tab or the student list on the active trip banner.

  2. You'll see the list of students expected at the current or upcoming stop.

  3. As a student boards, mark them Boarded. Depending on your bus, this may be a manual tap or a scan of the student's ID/card โ€” either way, do it as the student actually gets on, not in advance.

  4. On a drop route, mark each student Dropped as they get off at their stop, the same way.

  5. If a student expected at a stop doesn't show up, leave them unmarked rather than marking them boarded โ€” this keeps the record accurate for the school and the parent.

  6. Continue this at every stop for the rest of the trip. The list updates automatically as you move to the next stop.

Common MistakeNever mark a student as boarded or dropped before it actually happens, even if you're confident they will be there. Parents get a notification the moment you mark it โ€” an early mark can tell a parent their child is on the bus when they aren't yet.
