How Transport Works, End to End

Purpose

Transport is one of the few Larnup features that genuinely spans three roles working together: the School Admin sets up the structure, the Driver runs it day to day, and the Parent watches it happen live. This page is the map of how those three pieces connect — read this first, then follow the link to your own role's detailed guide for the actual steps.

When to Use

  • You're new to any of the three transport-involved roles and want the full picture before diving into your own steps.
  • You're a School Admin explaining to a Driver or a group of parents how transport tracking works.
  • Something in the chain seems disconnected (a trip started but a parent sees nothing) and you want to understand where to look.
  • You want to understand how live tracking and notifications actually work behind the scenes.

How It Works

  1. The School Admin builds the structure first. Before any trip can run, routes and stops need to exist, and vehicles need a driver and a route assigned to them. See Setting Up Routes, Stops & Vehicles and the full School Admin Guide.

  2. The Driver runs the trip. Each day, the Driver starts a trip on their assigned route, and the app begins continuous live GPS tracking for the duration of the trip. See Running a Trip: Start to End and the Driver Guide.

  3. Students are marked as they board and get dropped. As the trip progresses, the Driver marks each student boarded or dropped at their stop, so the record of who's on the bus is accurate in real time.

  4. The Parent watches it happen live. Once a trip is running, Parents see their child's bus moving on a map, with an ETA to their own stop, and get notified as the bus approaches. See Live Tracking, ETA & Route Progress and the Parent Guide.

  5. The trip can pause and resume. A Driver can pause tracking for a genuine stop (a fuel stop, waiting out traffic) and resume when moving again, without ending the trip.

  6. The trip ends, and the cycle repeats the next day. Once the last stop is complete, the Driver ends the trip, and everything resets for the next scheduled run.

  7. If something goes wrong, there's a path for that too. Drivers can report an incident or emergency mid-trip. See Emergencies & Incidents.

TipLive tracking and stop-arrival notifications depend on geofencing around each stop, which is set up automatically once a route's stops are created — Admins don't need to configure this separately.
Common MistakeA trip only appears live to Parents once the Driver has actually started it in the app — a scheduled route with no active trip shows nothing new on the Parent's map.
Common MistakeIf routes, stops, or vehicle-driver assignments aren't set up correctly by the Admin first, the Driver won't have a trip to start — transport setup issues almost always trace back to this first step, not the Driver's app.
