Setting Up Routes, Stops & Vehicles

Purpose
Before any trip can be tracked, the structure behind it needs to exist: named routes made up of ordered stops, and vehicles assigned to a driver and a route. This is School Admin work, done once per route and revisited whenever a route changes. Get this right and the day-to-day trip experience for Drivers and Parents just works.
When to Use
- You're setting up transport for a school for the first time.
- A new route needs to be added, or an existing one needs new or reordered stops.
- A vehicle needs a new driver assigned, or a driver needs to be reassigned to a different route.
- You're troubleshooting why a Driver can't start a trip, or why a stop isn't showing up correctly on a Parent's map.
How to Use

Open Transport from the Admin dashboard and go to Routes.

Create a new route and give it a clear, recognizable name โ drivers and parents will both see this name, so make it obvious (e.g. "Route 3 โ North Sector").

Add stops to the route in order, and set an expected time for each one. The order and timing you set here is what drives ETA calculations later.

Switch to Vehicles and add or select the vehicle that will run this route.

Assign a driver and a route to the vehicle. A vehicle needs both before a trip can be started against it.

Double-check which students are linked to which stop โ this is usually inherited from each student's registered pickup point, but confirm it looks right before the route goes live.

Save and review the route end to end โ walk through the stop order once more, since this is what parents and drivers will rely on daily.
